Brand Customization Overview – Proof Help Center
Organizations with a Premium or higher Proof account can customize branding elements such as logo, colors, and landing pages visible to customers completing transactions via Proof links or invitations, while certain elements like email wording and signer page layout remain unchangeable, and multi-organization brand management is facilitated through Command Center.
The short answer: If your organization is Premium or higher, you can customize branding in Proof. When your customers complete a transaction through one of your links or invitations, they'll see your logo, colors, and landing pages instead of Proof's branding — giving them confidence they're in the right place.
What you can customize
If you're an Owner or Admin of your organization's account, you can update the following in your settings:
- Brand name
- Logo and co-branded header
- Brand colors
- Co-branded header
- Signer welcome page
- Video background for notary meetings
Your customers will only see your customized branding if they complete a transaction using one of your links or invitations. If they visit the Proof website directly, they'll see Proof's branding.
Managing branding across multiple organizations
If you manage branding for a company with multiple parent and child organizations, Command Center gives you access to brand profiles — a more scalable way to keep everything consistent.
What you can't customize
A few things stay consistent across all Proof accounts and can't be changed:
- The wording in emails
- The email address in the From field
- Buttons or links during sign ahead, knowledge-based authentication (KBA), and the notary meeting
- The layout of the signer welcome page
Summary Checklist
- You're an Owner or Admin on the account.
- Your logo, brand colors, and landing page are uploaded in settings.
- You're sharing your Proof links or invitations — not directing customers to the Proof homepage.

Get a Document Notarized with Two or More Signers
Proof offers three flexible online notarization methods—co-located, concurrent, and split signing—to accommodate documents requiring multiple signers, each of whom must have a valid photo ID, U.S. SSN or ITIN (or biometric verification), a U.S. address, email, and a device with audio/video, with sessions supporting up to 10 connected devices including notaries, signers, witnesses, and contacts.
Notary-Sourced Transactions (NST) Overview – Proof Help Center
The Notary-Sourced Transactions (NST) Overview from Proof Help Center explains that properly commissioned notaries in specified states can use Proof's platform to independently run their Remote Online Notarization (RON) business—managing clients, setting fees, and utilizing features like secure digital certificates, multi-factor authentication, session recordings, flexible billing, and training resources—all while ensuring compliance with state-specific requirements.
Where Documents Notarized on Proof Can Be Legally Used
Documents notarized through Proof are legally valid only within the United States, as the platform supports nationwide online notarization using U.S.-based identity verification, but it does not meet the international requirements such as apostilles needed for documents intended for use outside the U.S., for which traditional notarization is recommended.
Identity Verification Overview – Proof Help Center
Proof's identity verification for notarizations varies by notary commission state and transaction type, offering four methods: IAL2-compliant verification (credential analysis plus selfie comparison), multi-step verification (combining knowledge-based authentication, credential analysis, and/or selfie comparison), personal knowledge of identity (notary personally knows the signer), and credible identifying witness (a verified witness vouches for the signer).
Fees for Notary-Sourced Transactions
Proof charges notaries sourcing their own transactions a $10 base fee per transaction (covering first seal, signers, credential analysis, KBA, recording, and document custody), $3 for each additional seal, and $7.50 per on-demand witness, while allowing notaries to set their own customer prices and offering incentives like a free first transaction and one free transaction for every ten meetings completed.
Skip Identity Verification if Notary Personally Knows Signer – Proof Help Center
The Proof Help Center explains that for single-signer transactions where the notary personally knows the signer, Notaries Sourcing Transactions (NST) and enabled In-House Notaries (IHN) can use the Personally Known to Notary (PKN) method to bypass Knowledge-Based Authentication and Credential Analysis, streamlining the process by selecting the "Personally known to notary" option during transaction setup, though this method is restricted to new, internal transactions with single signers and is unavailable to On-Demand Notaries (ODNs) or overflowed transactions.
