Complete a Hybrid with eNote Closing from Encompass – Proof Help Center

The Proof Help Center guide details the process for completing a hybrid loan closing with eNote from Encompass using eOriginal, highlighting current limitations (support only for eOriginal-generated eNotes, excluding DocMagic and Ginnie Mae notes), prerequisites such as successful onboarding and eVault configuration, and specific required Encompass fields (including loan details, property address, and ULDD data) that must be completed before placing an order through the Notarize with Proof eClosing form to generate and send the eNote for signing.

Current Limitations

Before placing an order, note these limitations in the Encompass integration:

  • Only eNotes generated with eOriginal in the Encompass integration are supported.
  • DocMagic notes generated from Encompass are not supported. The following steps relate to eOriginal notes.
  • Ginnie Mae notes created via the Encompass integration are not supported.

Please let your Proof Solutions Engineer know if you are interested in support for DocMagic notes or Ginnie Mae notes.

Prerequisites

Before completing a hybrid with eNote closing, confirm the following have been completed:

  1. 1.Successfully tested Hybrid closings with the Onboarding team.
  2. 2.eVault has been configured with Notarize with Proof and thoroughly tested.

Process Overview

The hybrid with eNote closing process follows these high-level steps:

  1. 1.Prepare a loan in Encompass.
  2. 2.Order documents and add them to the eFolder in Encompass.
  3. 3.Place an order from the Notarize with Proof eClosing Form in Encompass.
  4. 4.Check the transaction in Notarize with Proof and send to signer(s).

Complete a Hybrid with eNote Closing

Completing a hybrid with eNote closing from Encompass follows the same procedure as placing an order from Encompass to Notarize with Proof, with a few extra steps:

  1. 1.Confirm that the following fields are completed in Encompass before placing the order to Notarize with Proof. These fields are required for generating the eNote in eOriginal:
    • Loan Amortization Type
    • Base Loan Amount
    • Maturity Date
    • Lender Case Identifier
    • Lien Priority Type
    • Interviewer Name
    • Loan Originator Organization (Field ID 315 Section 9 of URLA)
    • Loan Originator NMLSR ID # (Field 3237 Section 9 of URLA)

  2. 2.After ordering documents and adding them to the eFolder, open the Notarize with Proof eClosing form and select Hybrid with eNote Closing. If any required field values are missing, a red error message will list which fields need attention. Fill in the required fields and select Update Order on the Notarize with Proof eClosing form to create the eNote on the draft transaction created from the original 'Place Order' call.
  3. 3.After selecting Place Order, the closer will receive an email notifying them that documents are ready to send once they finish processing on Notarize with Proof. When done processing, the transaction status on the Notarize with Proof eClosing form in Encompass will display a ready_to_send status (refresh the form to see this).

If you have Auto-Send enabled on your account, the transaction will automatically send to the signer(s) and you will not receive an email — unless the documents need attention before sending due to a processing or tagging failure. If Auto-Send is enabled, you will not need to complete steps 5–7 below.

  1. 1.Log in to Notarize with Proof to view the transaction. The closer on the file will have access to change any information on the transaction and switch the toggles for e-sign vs. wet-sign documents. You can open documents to check signature placements as well. Submit any errors or feedback regarding your documents to your Onboarding team for them to fix. Note that the paper note you ordered in Encompass will be suppressed from the transaction if an eNote is present.
  2. 2.The eNote seed file is created in eOriginal and generated on the transaction in Notarize with Proof. It is automatically labeled [LOAN NUMBER]_eNote.xml in both eOriginal and Notarize. Social Security numbers are automatically applied to signers.
  3. 3.If all details on the transaction and documents look correct in Notarize with Proof, click Send to Signer. The transaction will then be sent to the signer(s). Signers will have to pass KBA (knowledge-based authentication) to sign the transaction due to the eNote.
  4. 4.After signing is complete, the e-signed documents will be pushed back to Encompass based on your Integration Settings in Notarize with Proof. See Document pushback options for more information.

For Title Agents

Title agents can upload completed wet-signed documents to the hybrid transaction and push them directly to Encompass. Summary Checklist

  • Confirmed eOriginal eNote support (not DocMagic or Ginnie Mae).
  • Completed prerequisite testing: hybrid closings and eVault configuration.
  • All required Encompass fields populated before placing the order.
  • ICE Mortgage Technology override toggles set to green.
  • Selected "Hybrid with eNote Closing" in the eClosing form and resolved any red error messages.
  • Reviewed transaction and documents in Proof, then clicked Send to Signer.
  • Confirmed e-signed documents pushed back to Encompass after signing.
