Current Limitations
Before getting started, note the following limitations for online closings via the Encompass integration:
- Only eNotes generated with eOriginal are supported. DocMagic notes generated from Encompass are not currently supported.
- Ginnie Mae notes created via the Encompass integration are not currently supported.
- Title Agents added to online closings via the Proof Collab flow must be onboarded to Proof before participating in transactions.
Prerequisites
Before placing an online closing order, confirm all of the following are in place:
- 1.Your Proof account has been set up for online closings (check with your Proof Solutions Engineer).
- 2.eVault has been configured with Notarize with Proof and thoroughly tested.
- 3.The title agencies you are working with are onboarded to Notarize with Proof.
Overview of Process
Online closings submitted via Encompass follow the Notarize with Proof Collab workflow, routing from Lender to Title to Proof Closing Operations before reaching the signer:
- 1.Prepare a loan in Encompass.
- 2.Order documents, uncheck the Paper note, and add them to the eFolder in Encompass.
- 3.Place the order from the Notarize with Proof eClosing Form in Encompass.
- 4.The transaction is automatically sent to the Title agent selected on the file.
- 5.The Title agent uploads documents and places the order with the Closing Operations team to quality check the transaction and tag Title documents.
- 6.The Closing Operations team sends the transaction to the signer(s).
Complete an Online Closing
Completing an online closing from Encompass follows the same procedure as placing a hybrid with eNote closing from Encompass, except the transaction must be eligible to be completed fully online rather than only partially online.
Online closings must pass an eligibility check for the property address before an order can be placed. The Notarize with Proof eClosing form runs this check automatically. If the closing is eligible, you can select a Title Agency and Underwriter. The form will remember your most recent Title Agency selection to speed up future orders.
Title Agent File Contact vs. Title Agency Selected
When placing an online closing, Proof cross-references the Title Agent File Contact (under File Contacts > Tools) on the Encompass loan with the Title Agency selected on the eClosing form:
- 1.If the Title Agent File Contact is not a member of the selected Title Agency, the Title Agency contact list in Proof will receive an email requesting that the Title Agent be added.
- 2.If the Title Agent File Contact is already a member of the Proof Title Agency account, only that Title Agent will receive an email to add Title documents.
After placing the order, it is automatically sent to the Title Agent or Agency on the transaction, including all transaction details, the eNote, and lender documents. If an update is needed, you can recall a transaction and resend it through the Proof Collab flow (Lender → Title → Proof Closing Operations).

What Does the Closing Operations Team Do?
Once the Title agent submits the transaction to Proof Closing Operations, the team handles the final quality checks before sending it to the signer:
- The Document Specialist finishes preparing the transaction and passes it to the Quality Control Specialist.
- Quality Control verifies the transaction is set up according to the lender's standard operating procedures, then selects Send transaction to send it to the signer(s).
- Once sent, the transaction status updates to Sent to Signer in Notarize with Proof. Both the lender and Title can monitor the transaction in Proof for status updates.
