Document pushback options – Proof Help Center

The Proof Help Center explains how to configure document pushback settings in the Proof Lender Portal, allowing users to choose whether completed e-signed files return to Encompass as merged PDFs or separate attachments, specify their pushback location (File Manager, custom folder, or original eFolder), manage audit trail PDF pushback with necessary permissions, and handle wet-signed documents in hybrid transactions with options for title agents to upload merged packages.

Document Settings

Document settings control how completed e-signed files are returned to Encompass and which pushback location is used.

To access document settings:

  1. 1.Select Settings from the menu on the left.
    • If you don't see the menu, select the arrow in the upper-left corner to expand it.
  2. 2.Select Integrations, then Documents in the Proof Lender Portal.

Choose whether executed e-signed documents should be returned to Encompass as a merged file or as separate attachments. You can also select the location where the executed e-signed documents should be returned.

As a Merged PDF

  • E-signed documents return to Encompass as Merged E-Sign Final.
  • Select the pushback location — File Manager (default) or a custom folder.

As Single PDFs

  • Individual documents return to Encompass separately.
  • Send them to the File Manager or specify a custom folder.

In Their Original Folders

  • Executed documents are assigned back to their original folders in the eFolder.
  • Recommended for lenders who rely on ICE Mortgage Technology's Auto Assign functionality, as it is Proof's workaround for barcode-based auto-assign in Encompass.

Audit Trail Pushback

  • The audit trail PDF is a record of each completed transaction and can be pushed back to Encompass.
  • Configure the Audit Trail PDF attached to each completed transaction to push back to the File Manager or a custom folder in Encompass.
  • Your Encompass API user must have permissions to create new folders for this to push successfully.

Wet-Sign Documents

  • Wet-signed documents in hybrid transactions follow a different pushback process than e-signed documents.
  • Only e-signed documents automatically return to Encompass.
  • Title agents can upload a merged wet-sign document package after completion on a Hybrid Transaction, which will then push back to Encompass.
  • If Title Wet Sign Upload is enabled on your account, you can customize where the merged wet-sign package pushes back to in Encompass — either the File Manager or a custom folder.
  • Your Encompass API user must have permissions to create new folders for this to push successfully.

Documents to Pull

  • Control which documents pull from Encompass to Proof when an order is placed.
  • Under Integration Settings → Documents, specify which documents should pull from Encompass to Proof when placing an order.
  • Enter document names to pull specific files, or leave the field blank to pull all documents with the Closing Document type.
  • Any documents uploaded directly in Proof after the order is placed will push back to the File Manager in Encompass as unassigned after the transaction is completed.

Other Pushback Options

  • Additional pushback options are available for specialized use cases.
  • You can configure Proof to push an extra copy of the Closing Disclosure to Encompass. Contact your Proof Solutions Engineer to request this option.

Summary Checklist

  • Access document pushback settings via Settings → Integrations → Documents.
  • Choose a pushback format: merged PDF, single PDFs, or original folders.
  • Configure the audit trail PDF to push to the File Manager or a custom folder — your Encompass API user needs folder-creation permissions.
  • Wet-sign documents do not push back automatically — title agents must upload them manually (or enable Title Wet Sign Upload).
  • Use Documents to Pull to control which Encompass files are pulled to Proof on order placement.
