Email reminders for organizations – Proof Help Center
Proof offers organizations two types of email reminders for signers: automatic reminders controlled at the account level and sent on optimized schedules (with specific timing for business transactions at 6, 24, and 48 hours after sending, and for real estate transactions up to four times around the activation date), and manual reminders that can be sent anytime with a personal note, while signers can unsubscribe from automatic reminders and disabling them requires contacting Proof Support.
Audience: Organizations
Proof provides organizations with two methods to remind signers about upcoming transactions:
- Automatic reminders sent on a set schedule
- Manual reminders that can be sent at any time with a personal note
How automatic reminders work
- Automatic email reminders are controlled at the account level (not per transaction) by the Proof team.
- They are sent on a standard delivery schedule optimized for engagement.
- Signers can unsubscribe using the link at the bottom of each reminder email.
- To disable automatic reminders, you must submit a request to the Proof Support team.
If Proof emails are suppressed:
- The sender, signer, and real estate contacts (if applicable) will still receive an email when the transaction is complete.
- Automatic reminder emails are not sent.
Manual reminders can also be sent at any time.
Business transactions
Automatic reminders for business transactions are sent based on when the transaction was sent to the recipient(s). If the transaction is in any status except complete, reminders are sent at the following intervals after the transaction was sent:
- 6 hours
- 24 hours
- 48 hours
Real estate transactions
A maximum of 3 reminders are sent to recipients on the transaction (including signers and real estate contacts, but not CC contacts).
Reminders are sent in relation to the activation date:
- 3 days prior: 1am Eastern Time
- 1 day prior: 1am Eastern Time
- The morning of (signers only): 1am Eastern Time
- The evening of: 7pm in the transaction's time zone
Example: If the transaction's activation date is June 18, reminders will be sent on:
- June 15 at 1am ET
- June 17 at 1am ET
- June 18 at 1am ET
- June 18 at 7pm in the transaction's time zone
Because reminders are based on the activation date, some may be skipped. For example, if a transaction is scheduled to activate in 2 days, the first reminder (3 days prior) will not be sent.
Manual reminders
Reminders can also be sent manually and customized for individual transactions.

Enable or Disable Cost Centers for All Transactions
To enable or disable cost centers for all transactions, first create and make cost centers visible to senders, then navigate to the Cost Centers menu, select Update, choose either "Not enabled" to hide cost centers or "Enabled and required" to make them mandatory for new transactions, and save the changes, noting that disabling cost centers preserves existing assignments but prevents editing.
Edit a Business Transaction – Proof Help Center
The Proof Help Center explains that organizations can edit business transactions only while they are in Sent status—editing temporarily moves the transaction to Draft without changing recipients' existing access links, and after making changes via the Transaction actions menu and confirming with Update transaction, recipients are notified unless edits are merely saved without updating; however, these steps do not apply to real estate transactions, which require a different process.
Prepare and Tag Documents for Recipients – Proof Help Center
The Proof Help Center explains that tagging documents with fields—action items like signatures, dates, or initials—before a notarization session streamlines the process by allowing creators to place, move, resize, delete, and bulk-edit these fields in the Document Preparation window after uploading files, thereby reducing errors and improving the experience for all participants.

Force-complete a transaction – Proof Help Center
Force Complete is a tool for organization owners and admins to manually finalize stuck transactions on the Proof platform—such as incomplete multi-signer signings or unsigned eNotes—by logging the action, finalizing eNotes as-is, marking documents as "rejected," and updating transaction statuses, but it cannot be undone and is unavailable to individual users who must start new transactions instead.
