Enable Template Matching for Businesses – Proof Help Center
Only admins and owners can enable template matching in Proof for business accounts, allowing users to automatically apply document templates during transaction creation or signer uploads via EasyLinks or API, with exact matches placing tags and unmatched documents receiving no fields, and this feature is not intended for real estate customers; to enable it, navigate to Settings → Transaction Settings → Template settings, check Automatic Matching, and save changes.
Who Can Use This
Only admins and owners can enable template matching for an organization's account. Once enabled, any user with access to create and send transactions can apply templates and template matching.
Business document templates and template matching are not intended for real estate customers. If you're a real estate customer and would like to use templates, contact your Customer Success Manager (CSM) or contact sales.
How It Works
Template matching allows Proof to match existing templates to documents that are uploaded:
- In your portal when you create a transaction
- By a signer using one of your EasyLinks
- Using API
If your signer uploads a document using your EasyLink, the system checks your templates for a match:
- If an exact match is found: Tags are automatically placed on the document and a message displays the matched template's name along with how many signer and notary fields were placed.
- If a template match is not found: No fields are applied and a message indicates no matching template was found.
If a signer scans the document rather than uploading the original, the system may not recognize it and fields are unlikely to be placed correctly.

Enable Template Matching
- 1.Log in to your Proof account.
- 2.Click Settings from the navigation panel on the left.
- If you don't see the panel, click the caret to expand it.
- 3.Select Transaction Settings from the Settings page menu.
- 4.Click the Template settings tab.
- 5.Check the box next to Automatic Matching.
- 6.Click Save changes.
