On-Demand Notary Overview

The Proof platform enables On-Demand Notaries (ODNs) in Florida, Nevada, Pennsylvania, Texas, and Virginia who have completed National Notary Association (NNA) training and background checks, hold NSA certification, and possess at least $25,000 in Errors and Omissions insurance, all verified and uploaded through their Proof notary profile before they can accept on-demand notarization requests.

Audience: On-Demand Notaries (ODN)

Every notary who joins the Notarize Network is fully reviewed by the Network Community Operations team before they can meet with signers. Here is everything you need to become an On-Demand Notary (ODN) on the Proof platform.

1. Active States

The Proof platform is currently live for On-Demand Notaries in the following states:

  • Florida
  • Nevada
  • Pennsylvania
  • Texas
  • Virginia

Notaries commissioned in these states are automatically enabled for dual capacity as an ODN and a Notary-Sourced Transaction (NST) notary. If you are not commissioned in one of these states, you can add your name to the waiting list to get updates on when your state goes live.

2. What You Need

National Notary Association (NNA) Documentation

Proof checks with the NNA to verify your completion of required notarial training and that an unexpired background screening is on file. This is required to answer on-demand calls on the Proof platform.

To obtain your NNA ID number:

  1. 1.Create an NNA account.
  2. 2.Purchase a background check.
  3. 3.Purchase NSA training.

You do not need an NNA membership to obtain an NNA ID number. Once you complete the NNA background check and training, you can enter your NNA ID into your Proof notary profile.

NSA Certification

NSA certification consists of a completed background check and the NSA exam, both purchased when obtaining your NNA ID. Proof collects this information when you set up your notary profile.

Pro tip: It usually takes up to 48 hours for a newly completed NNA background check and training to update on NNA's site. Make sure you've opted in for your NNA information to publicly sync to your Proof notary profile.

Errors and Omissions (E&O) Insurance

E&O insurance protects you from liability for false claims or unintentional notarial mistakes. To work as an On-Demand Notary, you must upload a copy of your E&O insurance policy for at least $25,000 to your account, along with the policy expiration date and insurance amount.

3. What to Expect

The Network Community Operations team is alerted automatically when you enter and update credentials in your account. Your profile will be reviewed for compliance once all of the following are complete:

  • Insurance Details
  • Signature and Seal
  • Payment Information

Proof Academy Training

You must complete all required training in your Proof Academy profile before using the platform. The training consists of:

  • Notary Skills Assessment (state-specific): Measures basic notarial knowledge. Required with unlimited attempts to pass at 80% or higher.
  • Platform Training: 2-3 hours of content specific to using the Proof platform.
  • Platform Training Assessment: Required with unlimited attempts to pass at 80% or higher.

Once both assessments are passed, you'll be Platform Certified and granted a certificate you can download and share to LinkedIn.

Pro tip: You can access Proof Academy from the Home page of your notary profile for continuing education opportunities post onboarding.
