Request Supplemental Documents from Signers – Proof Help Center
The Proof Help Center explains that when the "signer in meeting document upload" feature is enabled by Proof, notaries can prompt signers during a notarization meeting to upload supplemental documents—such as death certificates or purchase receipts—which are then appended to the end of the completed package, and to implement this, senders must instruct notaries via Notary Notes or Instructions and inform signers in advance, optionally using reminder emails.
Supplemental documents provide additional information alongside a notarization. They are not required to be signed during the meeting, but are requested by the sender to be added to the completed package.
Notaries prompt the signer to upload supplemental documents during the meeting. Examples include:
- A financial institution may require a certificate of death to accompany a notarization initiated for the beneficiary of a deceased client.
- A receipt proving a purchase may be required to settle a consumer dispute.
Supplemental documents are added at the end of the completed package.
The signer in meeting document upload feature must be enabled by Proof. If you're interested, contact your Customer Success Manager (CSM) or sales team.
Indicate Supplemental Documents Are Needed
When this feature is enabled, follow these steps to receive the documents in one package:
- 1.Instruct the notary to prompt the signer for the supplemental documents during the meeting via a Notary Note:
- 2.Inform your customers to be prepared to upload the supplemental documents. You can add a personalized note when you initially send the notarization and/or use a reminder email.

Notary Profile Success and Troubleshooting – Proof Help Center
The article explains that notary profile activation on Proof is delayed primarily due to incomplete onboarding steps—such as submitting personal info, commission, NNA ID, E&O, signature, seal, training, identity verification, and digital certificate—and waiting for state RON approval, with the Network Community Operations team reviewing completed profiles within 1–2 business days to ensure compliance before activation.
Audit Trails Overview
Proof generates two audit trails for every completed transaction: a transaction-level audit trail providing a high-level summary of key signing events (such as signer details, ID verification, and seal application) reflecting only the most recent transaction, and a more detailed, tamper-sealed document-level audit trail embedded within the document itself that records all actions on the document and is viewable in Adobe Acrobat, with both accessible to anyone who has access to the document.
