Send a Document for eSignature for Businesses – Proof Help Center
The Proof Help Center guide for organizations explains how to send a Sign transaction by logging into a Proof account, uploading and preparing documents with fillable fields, adding transaction and signer details, optionally setting identity verification, signing windows, and messages, then sending the transaction so signers receive an email link to electronically sign without needing a notary.
Audience: Organizations
Sign transactions let you get documents electronically signed without a notary meeting. They go directly to your signer and are included in Pro and Premium plans for organizations.
Send a Sign Transaction
Log in to your Proof account to complete the steps below.
1. Start a New Sign Transaction
- Click Transactions from the left navigation menu.
- Click Send New Transaction in the upper right corner.
- Select Sign from the options.
2. Upload and Prepare Your Document
- Upload your document.
- Add fillable fields where signers need to sign or enter information.
- If you need help, see the article on preparing and tagging documents for recipients.
3. Add Transaction Details
- Type the transaction name (optional).
- (Command Center customers only) Add a cost center if it's enabled for your organization.
- Add CC contacts to notify colleagues and share documents when the transaction is complete.
4. Add Signer Information
- Provide the signer's name and email address, or select a saved recipient.
- For multiple signers, click Add recipient, select the type, and add their information. Repeat as needed.
5. Add Identity Verification (Optional)
- Click the switch next to Add identity verification to require signers to verify their identity before signing.
- Select your preferred verification method from the dropdown.
- You can also require signers to confirm their phone number for the transaction. See more about multi-factor authentication for transactions.
6. Set a Signing Window (Optional)
- If you want signers to complete the transaction within a specific date range, set a signing window.
7. Add a Message to Signers (Optional)
- Type a message to your signers in the provided box. This message will be included in their notification email.
8. Send the Transaction
- Click Send transaction.
- Your signers will receive an email with a link to review and sign the document.
- Once all parties have signed, you and any CC contacts will receive an email notification to download the completed document.
