Send a Transaction to a Signing Group – Proof Help Center
The Proof Help Center explains that sending a transaction to a signing group allows multiple authorized individuals sharing a common inbox to receive and complete signature requests, enabling the first available person to sign and avoid delays, with instructions to add a signing group recipient by selecting "Signing Group" and entering the shared inbox email during transaction creation, noting that this feature requires a web browser and can also be configured via API.
When to use signing groups
Signing groups solve a common business problem: you need a signature from your organization, but you don't know who will be available when the time comes.
When you send a transaction to a signing group, everyone with access to that shared inbox receives the invitation. Whoever is available first can complete the transaction — no delays waiting for one specific person.
Use case example
A mortgage lender creates a transaction requiring signatures from the borrower and a construction company. Anyone at the construction company can sign, but the lender doesn't know who will be available after the borrower completes their part.
By sending the transaction to the construction company's signing group inbox, the lender ensures the deal moves forward without unnecessary delays. The first person who sees the email can sign on behalf of the company.
Create a transaction for a signing group
- 1.Add the signing group recipient
- When creating your transaction, select Add recipient under Recipient details.
- 2.Select Signing Group
- Choose Signing Group from the recipient type options.
- 3.Provide the shared inbox email
- Type or paste the email address of the shared inbox where you want to send the transaction.
Summary Checklist
- Signing groups let multiple people access the same transaction invitation — first available person completes it.
- Select Add recipient → Signing Group and enter the shared inbox email address.
- Web browser required — mobile apps are not supported for signing groups.
- Signing groups can also be configured via API — see developer documentation for details.
