Set a Signer Field as Optional
Organizations can mark signer fields as optional—indicated by "(Optional)" next to the field name and not required to complete the transaction—by adding the field in the Prepare documents window and either clicking the "Set as optional" button above the field or toggling the "Field is required" switch off, noting that this applies to both documents and templates but excludes notary fields.
Audience: Organizations
Optional fields let signers provide information without requiring it to complete the transaction. Mark any signer field as optional from the Prepare documents window.
How It Works
Optional fields show "(Optional)" next to the field name so signers know they aren't required to fill them in. Here's what to know:
- Optional fields are not required for the signer to complete the transaction.
- They can be used in both documents and document templates.
- Notary fields cannot be marked as optional.
Set a Signer Field as Optional
In the Prepare documents window:
- 1.Add the field you'd like to mark as optional.
- 2.Select the field after placing it on the document.
- 3.Set the field as optional using one of these methods:
- Click the Set as optional button that appears directly above the field.
- Toggle the Field is required switch to the OFF position in the right-hand toolbar.
Summary Checklist
- Open the Prepare documents window for your transaction.
- Add the field and select it on the document.
- Click Set as optional above the field, or toggle Field is required to OFF.

Replace a prepared document – Proof Help Center
The Proof Help Center explains that organization senders and notary-sourced transactions users can replace a document in a draft transaction or template without deleting the original, automatically preserving all existing signer and notary fields in their original locations, with the caveat that fields on removed pages are deleted if the new document is shorter, and provides step-by-step instructions for replacing documents in both draft transactions and templates.
Required and Optional Document Fields
Document fields can be designated as optional (skippable and deletable during meetings), required (default, can be left blank with a warning but allow meeting completion), or enforced required (must be completed before closing the meeting, cannot be deleted, and are enforced account-wide), with specific behaviors and restrictions for each type to control signer input and meeting completion.
