Transaction Export: Columns and How-To – Proof Help Center

The Proof Help Center explains that users can export their transactions as a .CSV file containing detailed columns such as transaction ID, organization info, transaction type and status, sender and recipient details, timestamps for creation, sending, scheduling, completion, and archiving, risk scores, source, and other metadata to analyze volume, conversion rates, and support data-driven business decisions.

The short answer: Export and download your transactions as a .CSV file to calculate volume, conversion rate, and other statistics to help you make data-driven decisions for your business.


Export columns

When you export transactions, the file downloads as a .CSV. The following columns are included:

  • id — Transaction identification number
  • account_id — Your organization identification number
  • org_name — Your organization's name
  • transaction_name — Transaction name
  • status — Transaction status
  • detailed_status
  • type — Type of transaction (e.g., eSign, notarization, heloc)
  • source — How the transaction was generated (notarize, notarize_api, resware, or other integrations)
  • external_id — The external ID if provided during transaction creation
  • first_recipient — Name of the first recipient on the transaction
  • customer_email — Email address of the first recipient
  • sender_name — Name of the user who sent the transaction
  • sender_email — Email address of the user who sent the transaction
  • risk — Risk score shown in the UI (for organizations with Proof Defend)
  • order_of_progress — Closing Operations status, visible in the Open Orders tab (title and lender accounts)
  • created_at — Date and time the transaction was created
  • sent_at — Date and time the transaction was sent
  • scheduled_at — Date and time of activation, if the transaction was scheduled
  • scheduled_at_timezone — Time zone of the time in the scheduled_at field
  • completed_at — Date and time the transaction was completed
  • closing_date — The closing date shown in the UI (real estate accounts). Non-real estate accounts will see expires_at instead.
  • last_updated_at — Date and time the transaction was last interacted with
  • archived_at — Date and time the transaction was archived, if applicable
  • cost_center — Selected cost center for the transaction (Command Center customers only)
  • number_of_seals — Total number of notary seals applied
  • number_of_recipients — Total number of recipients on the transaction
  • number_of_meetings — Total number of meetings associated with the transaction
  • number_of_odn_meetings — Number of on-demand notary (ODN) meetings
  • number_of_ihn_meetings — Number of in-house notary (IHN) meetings
  • number_of_witnesses — Number of witnesses on the transaction

Title and lender org columns

The following fields are included based on org type. Title orgs receive both title and lender fields; lender orgs receive title fields only.

  • title_agency_id — Included for title and lender orgs
  • title_agency — Included for title and lender orgs
  • title_underwriter_id — Included for title and lender orgs
  • title_underwriter — Included for title and lender orgs
  • lender_id — Included for title orgs only
  • lender — Included for title orgs only

Export transactions

  1. 1.Log in to your Proof account.
  2. 2.Select Transactions from the navigation menu on the left.
  3. 3.Check the box next to the transactions you want to export, or use filters to narrow your selection.
  4. 4.Select Export to the right of the bar at the top of the transactions list.
  5. 5.Select Export all transactions or Export currently selected filters.
  6. 6.Select Export CSV.

The file will download to your computer.


Summary Checklist

  • Select transactions or apply filters, then select Export → Export CSV.
  • Choose Export all transactions or Export currently selected filters.
  • Real estate accounts export closing_date; non-real estate accounts export expires_at.
  • Title orgs receive both title and lender fields; lender orgs receive title fields only.
