Update Orders from Encompass – Proof Help Center
The article explains how organizations can update orders placed to Proof after submission—either by editing transactions directly in Proof or by using the "Update Order" button on the Proof eClosing form in Encompass—while emphasizing that updated documents must be reordered and added to the eFolder before updating, and detailing how Proof pulls the latest closing documents by name and timestamp, including handling merged packages and separate attachments.
Audience: Organizations
If you need to update an order after placing it to Proof — for example, if the closing date changed or the signer's name is incorrect — you can update it from either Proof or Encompass.
Update from Proof
- 1.Log in to your Proof account using one of the following in Chrome (preferred) or Firefox:
- Select the hyperlink on the Proof eClosing form in Encompass.
- Navigate directly to the transaction in your Proof account (or the Fairfax testing environment for test transactions).
- 2.Locate the transaction, make the desired edits, and send it to the signer(s).
Update from Encompass
- On the Proof eClosing form in Encompass, use the Update Order button to update the draft transaction created when you selected Place Order. This button is grayed out until you've placed the initial order.
Note: Proof ignores all documents older than the last pull time. Any updated documents must be reordered and added to the eFolder before selecting Update Order. Proof pulls the latest closing documents by name and timestamp. See how documents are pulled from Encompass to Proof for more information.
Merged package
If you re-order your Closing Documents as a merged package, the new package replaces the older version from the initial Place Order — Proof only pulls the latest "Closing Documents."
Separate attachments
Newer document versions replace older ones. However, any documents not being replaced that remain in the eFolder will still be pulled to Proof when you select Update Order.
For example: if you ordered a "Printer Settings Document" in your initial Place Order, it remains in the eFolder. If you order a new closing package without re-ordering that document, the original version will re-pull when you select Update Order. Remove old documents from the eFolder if you don't want them included.
See Order documents from Encompass for more about merged vs. separate attachments.

Summary Checklist
- From Proof: log in via the eClosing form link or directly → edit transaction → resend.
- From Encompass: reorder updated documents in the eFolder first, then select Update Order.
- Remove old documents from the eFolder if you don't want them re-pulled on update.
