Upload title documents to a Collab closing – Proof Help Center

When invited to a Collab closing by a lender using the Proof platform, organizations receive an email prompting them to upload and tag title documents—such as underwriter info and file numbers—via a secure transaction interface where certain fields are editable, after which notifications are automatically sent to the lender, signer, and contacts to proceed with the closing process.

The short answer: When a lender invites you to a Collab closing, you'll receive an email to add your title documents before the transaction is sent to the signer.


How It Works

When a lender and title agency both have Collab enabled, they can complete closings together on the Proof platform. The lender initiates the closing, and Proof automatically sends you an email to add the title documents.

When you access the transaction, you have permission to edit only certain fields:

You can edit:

  • Underwriter
  • File number
  • CC contacts
  • Closing contacts
  • Documents
  • Notary meeting schedule
  • Notary notes
  • Signer message

The following items cannot be edited because they are set by the lender:

  • Property address
  • Loan number
  • Secondary ID requirement
  • Recipients
  • Who will conduct the meeting selection
  • Credible witness option

Add Title Documents

  1. 1.Check your email for a message from noreply@proof.com.
  2. 2.Click the Add title documents button in the email.
  3. 3.Sign in to your Proof account, or click Send verification email to open the transaction without a password.
  4. 4.Click Upload a document in the Documents section.
    • Documents added by the lender appear in this list and cannot be edited except by the lender.
  5. 5.Drag and drop your files or click Upload a document.
    • Documents can be in a single PDF file or uploaded as individual files.
  6. 6.Click Add # document to transaction when finished adding files.
  7. 7.Prepare and tag the documents.
  8. 8.Click Send transaction.

What to Expect After You Send

When you send the transaction, the following notifications are sent automatically:

  • You receive a confirmation that the package was sent successfully.
  • The lender is notified that the document package has been sent to the signer.
  • The signer is notified that the closing is ready, including the notary meeting schedule.
  • CC contacts and closing contacts are notified that the package was sent.

Summary Checklist

  • Check your email for an invitation from noreply@proof.com.
  • Click Add title documents and sign in to your Proof account.
  • Upload your title documents in the Documents section.
  • Prepare and tag the documents.
  • Click Send transaction.
