Proof's Verified Business Identity allows organizations on Business Pro+ and Premium plans to complete a one-time Know Your Business (KYB) verification process—submitting legal name, address, TIN, and email domain verified via Enigma—to receive a cryptographic Organization Certificate that is automatically applied to all eSign and Remote Online Notarization transactions, thereby displaying verified status to signers and recipients to build trust and reduce signing friction.

The short answer: Verified Business Identity lets your organization complete a one-time verification process on Proof so that signers and recipients can see your business is real and credentialed. Once verified, Proof automatically issues your organization an Organization Certificate — a cryptographic credential that is applied to every eSign and Remote Online Notarization (RON) transaction you send, and can also be applied to standalone documents through the Certify workflow.
Business verification is available to organizations on Business Pro+ and Premium plans (Business, Title, and Lender portals). Only Org Owners and Admins can initiate and complete the verification process.
What Is Verified Business Identity?
A Verified Business is an organization that has completed Know Your Business (KYB) verification on Proof. During this process, your organization submits its legal name, business address, and Tax Identification Number (TIN). Proof verifies this information — along with your email domain — through its data partner, Enigma.
Once verification is complete, your business receives a verified status on the Proof platform. This status is visible to signers and recipients on all of your transactions, building trust and reducing friction at the moment of signing.
What Is an Organization Certificate?
An Organization Certificate (Org Cert) is a PKI X.509 certificate issued by Proof's Certificate Authority to your verified organization. Think of it as a cryptographic statement that your business is real, has been independently verified, and has been credentialed by Proof.
Every organization that completes business verification automatically receives an Organization Certificate. Once issued, it works in two ways:
- Automatically applied — Every eSign and RON transaction sent from your organization carries the Organization Certificate, with no extra steps required.
- Applied manually via Certify — You can also apply your Organization Certificate to standalone documents (documents that don't require a signature) through the Certify workflow.
How to Verify Your Business on Proof
Business verification is a straightforward, one-time process. Here's what to expect:
Before you begin, make sure the following requirements are met:
- Your organization is on a Business Pro+ or Premium plan.
- You are an Org Owner or Admin — only these roles can verify a business.
- Multi-factor authentication (MFA) is enabled on your account.
- Your organization's email address is confirmed. If you haven't done this yet, you'll be prompted to do so before verifying.
1. Gather Your Business Information
Before you begin, have the following ready:
- Your business's legal name
- Your registered business address
- Your Tax Identification Number (TIN / EIN)
2. Complete the KYB Flow in the Proof App
Navigate to your organization's settings in the Proof platform and follow the prompts to submit your business information. Proof uses Enigma — a business data provider — to verify your information and your email domain automatically.
3. Receive Your Verified Status and Organization Certificate
Once verification is complete, your business receives a verified status on the platform and an Organization Certificate is automatically issued. From this point forward, all transactions sent by your organization will carry your verified business credential.
Verifying a Document with an Organization Certificate
Anyone — including your clients, partners, or counterparties — can confirm whether a document carries a valid Organization Certificate from Proof. Proof provides a Verify portal where any user can upload or inspect a document to check its certification status. No Proof account is required to use the Verify portal.
Frequently Asked Questions
Is there a fee to verify my business or get an Organization Certificate?
Currently, Proof does not charge to become a Verified Business — verification has value to the platform and to your recipients. An Organization Certificate is automatically issued to every business that verifies, also at no additional cost at launch. Pricing for certificates and advanced credential features may change in the future; Proof will communicate any updates in advance.
Does my Organization Certificate apply to all transaction types?
Yes. Once your Organization Certificate is issued, it is automatically applied to all eSign and Remote Online Notarization (RON) transactions from your business. You can also apply it to standalone documents (no signature required) through the Certify workflow.
Can my clients verify a document even if they don't have a Proof account?
Yes. The Proof Verify portal is publicly accessible — anyone can use it to confirm whether a document carries a valid Organization Certificate, with no account required.
What is the Certify workflow?
The Certify workflow allows your organization to apply your Organization Certificate to a document that does not require any signatures.
