What Is Auto-Send? – Proof Help Center
Auto-send in Proof automatically delivers transactions to signers or title agents once documents finish importing from Encompass, allowing lenders with the Proof-Encompass integration to streamline Hybrid and online closings by either enabling auto-send for immediate delivery or disabling it to manually review and send documents, with error notifications sent if issues arise.
The short answer: Auto-send automatically delivers your transaction to signers or title agents once documents finish importing from Encompass — so closers don't need to log in to Proof and manually click Send.
When to Use Auto-Send
Lenders with the Proof-Encompass integration and high template accuracy can use auto-send by default for Hybrid, Hybrid with eNote, and online closing transactions on the Collab workflow. You can check or uncheck auto-send on each individual order, and your organization can set a default based on your team's comfort level.
Auto-Send Unchecked
When auto-send is unchecked and you click Place Order on the Notarize with Proof eClosing form in Encompass, the transaction is created in Proof and your documents begin importing.
A yellow importing documents status displays at the top of the form. Documents can take up to 10 minutes to finish processing.
The status updates to ready_to_send once documents have finished processing (you may need to click Refresh). The closer on the file also receives an email notification at this point.
From here, you can log in to Proof, review the order details and documents, and manually click Send. This approach takes more time but is useful for new loan packages or when your team is building confidence with eNotes.
Auto-Send Checked
When auto-send is checked and you click Place Order, the status will still show importing_documents — but you don't need to wait. Once documents finish processing, the transaction is automatically sent to the next closing party.
If any errors are found in the package, an email is sent alerting the closer to log in to Proof, review the documents, and send the transaction manually. The error will also appear in the order status box on the eClosing form.
Summary Checklist
- Confirm your organization's default auto-send setting matches your team's comfort level.
- Check or uncheck auto-send on each individual order as needed before clicking Place Order.
- If auto-send is off, wait for the ready_to_send status, then manually send from Proof.
- If auto-send is on and errors occur, check your email for an alert and review the package in Proof.

Encompass Integration Overview for Lenders
The Encompass integration with Proof enables lenders to seamlessly automate loan processing and closing document management by converting Encompass loans into Proof transactions, allowing order placement and updates via a custom form within Encompass, automatically pulling borrower data and documents through ICE Mortgage Technology's APIs, and ensuring eSigned documents are pushed back into Encompass for centralized tracking across various closing types including hybrid and online closings.
Document pushback options – Proof Help Center
The Proof Help Center explains how to configure document pushback settings in the Proof Lender Portal, allowing users to choose whether completed e-signed files return to Encompass as merged PDFs or separate attachments, specify their pushback location (File Manager, custom folder, or original eFolder), manage audit trail PDF pushback with necessary permissions, and handle wet-signed documents in hybrid transactions with options for title agents to upload merged packages.
Upload Wet-Signed Documents in Hybrid Transactions for Title Agents
Title agents participating in hybrid closings can upload finalized wet-signed documents via a secure link emailed by Proof—after the signer completes the online portion—making these documents accessible directly to the lender within their account, provided the Collab feature is enabled, the title agent is added to the transaction with document access, and the original wet-signed documents are also overnighted to the lender; however, unlike eSigned documents, these wet-signed files do not automatically sync with Encompass and require manual upload to the lender's system.
Replace Completed Hybrid Orders from Encompass
To update and re-sign a completed hybrid transaction in Encompass, use the Replace Order button on the Notarize with Proof eClosing form to recall and soft delete the original order, then place a new order with updated documents pulled from the eFolder for the signer(s) to re-sign.
