White-text tagging implementation guide for real estate – Proof Help Center
The guide explains that white-text tagging allows lender, title, and business organization users to embed invisible placeholders in documents for automatic field application by the Proof platform, streamlining transaction processing by eliminating manual tagging, with account-level configurations ([STANDARD] or [STANDARD - HIDDEN]) determining tag visibility and color, and provides resources like developer documentation and Adeptive Software to assist implementation.
Who can use this
Any user in a lender or title organization who can send transactions can use white-text tagging. Users in business organizations can use it as well, but may prefer to create business document templates instead.
How it works
White-text tags are placeholders with text in white — invisible to the human eye against a white page but readable by the Proof platform. When a document is uploaded via API or the UI, Proof locates the placeholders and automatically applies the prescribed fields for signers and/or notaries, including signature tags, initials tags, text fields, and date fields.
This eliminates the need to manually apply tags to each document, which can be tedious and time-consuming. If you'd like to use text tagging in a font color other than white, review the White Text Tags dev docs for more information.
Implementation
See the Developer Documentation for white-text tagging and an example document with a complete list of white-text syntax.
Proof sets your account to use either [STANDARD] or [STANDARD - HIDDEN]. These are configured at the account level but can also be switched for individual documents.
- [STANDARD]: Set at the account level when the organization uses white text in their white-text tag syntax.
- [STANDARD - HIDDEN]: Set at the account level when the organization uses non-white text (black, blue, red, etc.) in their white-text tag syntax.
This configuration helps Proof Closing Operations get transactions sent to signers more quickly. Title agents who want to send transactions directly to signers without using Closing Ops can also white-text tag their documents before sending to Proof — see Sending Directly to Signers in Place an Order from ResWare to Proof for details.
Adeptive Software is a resource for title agents implementing white-text tags.
Summary Checklist
- Review the Developer Documentation and example document for white-text syntax.
- Confirm with Proof whether your account is set to [STANDARD] or [STANDARD - HIDDEN].
- Embed white-text tags in your documents before uploading to Proof.

Salesforce Document Generation Overview
After installing the Notarize with Proof Salesforce App, organizations typically add a document generation tool that automates creating ready-to-sign documents by pulling Salesforce data into .docx templates enhanced with Proof's optional White Text Tags—hidden markers that pre-place signer, notary, and document fields automatically during upload—thereby eliminating manual document preparation and tagging, though White Text Tags require Proof activation and do not work with PDFs.
